GGGolf Administration
GGGolf is used to maintain your golf calendar, member types, tee time restrictions, member groups, reservation card time intervals, courses and your tee time sheet defaults. GGGolf also offers a member database and a guest/greenfee database. GGGolf enables you to easily manage your reservations and tee times. GGGolf is very customizable with hundreds of configuration options available to meet the specific needs of your club.
User Maintenance
In order to access GGGolf, user codes and passwords must be setup for the different users, such as starters and administrators. User authority levels control what options users have access to. GGGolf logs what users create, modify and in some cases what they delete, like tee time cancellations. Users can be setup according their language preference.
Calendar Maintenance
Enables you to document tournaments and establish exceptions for holidays and reservation ballot time intervals. Also includes weather documentation features that can enhance statistical analysis of tee times.
Member Type Maintenance
Member types can be setup according to your clubs needs. For example, 5 day, 7 day members, corporate members and juniors can easily be setup. Each type can be assigned a weight that will be used to establish priorities for tee time assignments from reservation ballots. Restrictions can also be setup to control, for example, that 5 day members are not allowed to play on Saturdays and Sundays. Once setup, members having these restrictions will not be permitted to book reservation ballots and tee times based on these rules. Starters will also be warned when trying to enter a member with a restriction.
Playing Time Restrictions Maintenance
GGGolf can handle practically any type of playing time restrictions by member type. This is very important in that members can book reservation ballots and tee times themselves via the Internet and Touch screen services. Playing time restrictions can be setup by date range, time range, and day of week including holidays. Restrictions can optionally be setup to apply only to men or women. They can be used to enforce rules such as: juniors must be accompanied by a parent or adult member, maximum 1 guest per member and a maximum of 5 games for guests.
Certain restrictions can be disabled for specific dates to handle exceptions. For multi-course clubs, restrictions can be setup by course or globally for all courses.
Member Maintenance
Easily maintain your member database with the following information: member Id, member name, first name, short name, spouse name, member type, sex, date of birth, telephone number, address, golf bag number, email address, and much more…
Members can be searched by name or by member Id. Member Ids can be changed without loosing any links to their handicap, reservation, and tee time data.
Enables you to setup members with exceptions to increase or decrease their reservation priorities. There is also a member inactivation feature that prevents members from using the GGGolf Internet services and Touch Screen services. You can also enter comments specific to a member which only the member will see upon his next logon via the GGGolf Internet services. (Nice features to get members to pay their bills!)
GGGolf Tee Time Sheets
GGGolf provides the very flexible tee time sheets. Default tee time sheets can be setup by day of week for each course. Naturally they can be easily overridden for any exceptions for any date or course. GGGolf easily handles crossovers, shotguns (1A, 1B, 2A etc..), variable tee time intervals such as every 7,8 minutes or even every 8,7,7,8 minutes to obtain, for example, tee times such as: 8:00, 8:08, 8:15, 8:22, 8:30, 8:38, 8:45, 8:52, 9:00, …
Here is an example of a 3 course tee time sheets where Courses 1 and 2 have been setup for 8, 7, 7, 8 tee times and with course 3 for a shotgun:
GGGolf easily handles 27 holes courses with any type of tee time strategy. (Unlike some other golf software, GGGolf does not use 3 x 18 holes course concepts to handle 27 holes).
Many different tee time sheets reports are available for single and multi-course golf clubs with optional color coding for guests, green fees, and special members:
- Regular
- Cross-overs
- Shotguns
- Alphabetical order (to help members quickly find their tee times)
- With golf bag numbers and cart reservations (for the bag shop)
- With golf cart numbers (to help marshals verify golf cart rentals on course!)
- With gross or net scores (to help verify who is not entering their games!)
Some additional features that facilitate the work of your starters and give you more control over your golf operations:
- Easily assign members into tee time sheet by entering the first letters of their last names or by entering their member id.
- View handicaps for all players of a foursome.
- For multi-course clubs, manage tee times for all courses simultaneously or one course at a time.
- Tee time cancellations must be documented with list of reason codes, like for example, no-shows, last minute cancellation, member replacement, bad weather, etc…
- Optionally document greenfees and cart rentals along with golf cart numbers.
- Document morning and afternoon temperature.
- Displays sunrise and sunset times according to tee time date displayed.
- Drag and drop players or foursomes in tee time sheets for quick changes.
- Option to display only available playing times.
- Tracks playing time with a mouse click with automatic member notification.
- Easily copy tee times for quick filling of tee time sheets for external tournaments.
Tee time assignment from the completed reservation ballots (draw)
With GGGolf, completing the tee time assignment sheets from the reservation ballots only takes a few minutes and is done with the assistance of your computer mouse. GGGolf allows the management of priorities in accordance with a weight system previously determined by member type.
GGGolf keeps track of the number of times members have been penalized in their previous reservations request. It is just as easy to verity the history of tee times for any member or guest in order to view the previous reservation penalties. GGGolf provides easy management for groups of foursome.
Once the times assignments are completed from the reservation ballots, the tee time sheets are instantly available for all members to view from the Touchscreen or the Internet. This is completely automated and requires absolutely no additional work!
Reports
- Daily statistics can be requested for a specific time period providing number of members, guests, greenfees, ladies, juniors as well as cart rental types.
- Golf cart rentals and greenfees report.
- Cancellation and no show report.
- Number of games played by guests report.
- Tee time data can be extracted and exported to Microsoft Excel. This feature enables you to prepare a multitude of reports for your specific needs.
Additional Features
- Golf Cart Maintenance is used to setup your golf cart database.
- Member Group Maintenance is used to setup different groups of members for reporting on handicaps. Members can belong to more than one group.
- Message Maintenance enables setting up different messages to be displayed on GGGolf Touchscreen, GGGolf Internet and GGGolf Administration initial menu screens.
- Course Maintenance enables setting up your different courses (for 27 or more hole courses) with their default tee time sheets for each day of the week.
- Guest/Greenfee database with comments and features to prevent certain persons from getting tee times.
